Cover Slide – First Slide
Hello everyone, my name is… and I would wish to make a presentation before you on
System Architecture. This is a sensitive subject that we should take a keen interest in. Many
people who are interested in computers and usually come up with systems do so to make our
work easier. Some tasks are very much complicated to the human brain that we require external
support to accomplish them. Some of these tasks include analysis of data and telling the various
trends that pertain to such information. Systems are therefore necessary for the lives of everyone
to assist in the performance of some roles and enhance the results. In this presentation, I am
going to take you through system architecture and sample some systems that are commonly used
in some organizations and discuss them adequately. At the end of the presentation, I also expect
you to ask questions in line with what I am going to present. I, therefore, invite all of you to be
very much attentive as I offer so that not even one word to pass you. I hope you will pick one or
two lessons at the end of this presentation.
Introduction – Second Slide
The second slide deals with the introduction to the needs of these systems. Currently,
there are vast amounts of information which are produced in the academic institutions. This
massive amount of data poses a significant challenge to the organizations when it comes to the
point of making decisions. The managers of these institutions should, therefore, choose the
appropriate systems that can handle such volumes of information and those that can be integrated
with the daily routine of the organization. There are quite some systems which can aid the
organizations in achieving their desired results such as; Management Information System,
Decision Support Systems and many more.
Research Questions – Third Slide
In this study, there are quite a number of questions that need to be answered. These
questions are such as; how do organizations cope with large data and what are the tools available
to make them accomplish the tasks that pertains to the analysis of the same. What are Enterprise
Content management, how are they used and where are they used? What are the Open Source
Systems? The study will attempt to give an answer to such questions.
Related Works -Fourth Slide
There are other people who have done research on the same subject and I will try to refer
to their works in an attempt to develop this study. Alawan and Weistrofer defined Enterprise
Content Management as the strategies and the tools that are used to capture, manage and store
information for the purposes of the organization. There are other several definitions that have
followed this one. Another one which I can quickly refer to is the one that is given by Laumer
Beimborn who defines Enterprise Content Management as spanning the suitability in
preparation, presentation and personalization of the Information for the end users.
Methodology – Fifth Slide
There are various techniques that I could involve in my data collection process. However
because of the constraints of time, am compelled to use much of the secondary sources which are
the published work. I will equally include the use of Observation and Interviews slightly so that I
can make a comparison with what is there in the secondary sources. After data collection, I will
analyze the data by the use of statistical software such as SPSS. I will equally present the
outcomes of the analysis by the use of the statistical software.
Proposed Outcome – Slide Six
I am likely to find the following as the outcomes of my study. I am likely to find out that
there are several complex systems in every academic institutions. One example of such complex
systems is known as the Student Management System. Such systems are very important when it
comes to the decisions made at the academic level. These systems make work easier in the
organizations and the faculty of data in such institutions are responsible for coming up with these
systems and propose them to the institutions.
Benefits of Open Source Systems – Slide Seven
These systems are alternatives to the commercial systems that are costly. They make
education cheaper and affordable. These systems also increase the quality of learning in the
institutions. In the same measure, these systems also have a very good output of the results
despite the fact that they are cheap. Their cheap price does not compromise on their quality and
effectiveness. The most wonderful of these advantages is the fact that these systems can be
customized to meet the needs of the organization.
Enterprise Content Management and its Benefits – Slide Eight & Slide Nine
There are several benefits of the Enterprise Content Management as they enable the
organizations to have advanced performance capabilities. The organizations can tell the nature of
the content they have and can locate them very quickly. The organizations can also become very
effective and efficient in their operations. These systems enable the organizations to save and
make the informed decision. The organizations can be accountable for whatever happens and set
their objectives and strive towards meeting them. These systems provide continuity in the event
of a disaster, and they enable the organizations to meet the legislative as well as the regulatory
requirements. Through these systems, the organizations can protect the interests of the
employees as well as that of the stakeholders.
Digital Asset Management – Ten
These are services which support some activities. They increase the access to an online
course in an institution. They enable the capture of many intellectuals, and they also provide an
extension to the library systems. These systems also assist in the distribution of the

In this slide, I would wish to make a summary of what we have been discussing all along.
First, there is an increasing volume of information in the institutions. Such an increase requires
the use of systems that can make the work of the management more accessible. ECM is a tool
that is very relevant and necessary in the decision-making process. The process of tracking
information in the Universities by the use of ECM is mainly based on workflow systems. For
such methods to be implemented, it is required that the employees quit their old habits and
become acquainted with the new system.

Answer: The DAM system will require to undergo the System development life cycle and
mostly the implementation stage, now that it is ready. At the implementation stage, the users will
need to be trained properly and they will need some time to get used to the system However,
depending on their speed, the system should take less than one month to be fully operational.
